It’s inevitable. It never ceases to surprise me. Last minute events are just a fact of life. We’d love it if everyone booked several months in advance, and gave us adequate time to schedule labor and plan logistics; but that just isn’t the case in this industry. Many times our calendar will be half full (I’m optimistic) for the current month on the first day of that month and you always think, “hmmm… this might be a slow month.”

It is especially crucial to book at least six weeks out when you have an event in the summer; I would even recommend 12 weeks if it is one of our busy weekends. However, don’t let this deter you. We do last minute events all of the time-and by last minute I mean the next day.

It seems like every city wants to rent a jumbotron for the inauguration. Not a bad idea, especially if you can’t make it to Washington DC to see the inauguration. Let’s face it, a jumbotron rental is a must for this event; what better way is there for thousands of people to participate in this historic event?

After speaking to hundreds of clients regarding their events I’ve nailed down five important details we need before we can prepare a contract:

Address of event

Set time: This is the time you would like us to arrive at the event. It is a good idea to give us an extra hour just in case.

Strike time: This is the time you would like us to pack up and leave. We realize that you can’t always be sure of an exact time, so an approximate will suffice.

Onsite contact: This will be the person onsite with which we coordinate the exact location of the jumbotron set up as well as the content to be played on the screen.

Content: This is very important; it’s the whole reason you are renting a jumbotron! We need to know what you would like to play on the screen beforehand so that we come prepared with any necessary equipment.
